Start with the exact model
“Printer setup” is not one universal button sequence. Find the full model number on the printer label or display before installing anything. A series name may include multiple devices with different menus, supported connections and cartridge types.
Place the printer on a level surface and remove the packing materials shown in its manual. Load the supplied ink or toner and the correct paper size. Allow its initial preparation or alignment to finish. If the display shows an error at this stage, resolve that hardware prompt before attempting a computer connection.
Choose the connection before installing software
A network printer needs to join your local Wi-Fi before another device can discover it. A USB printer uses a direct data cable. Some models also support Ethernet. Choose the connection you intend to use and follow the manufacturer’s order of operations; a USB installer may ask you to wait before plugging the cable in.
For Wi-Fi, keep the network name and password ready. Avoid assuming Wi-Fi Direct is the same as joining the home router: Wi-Fi Direct creates a direct connection between devices, while the usual home setup places the printer and computer on the same local network.
Add the printer to the device
Once the printer shows its connection is ready, add it from the printer settings on Windows or Mac, or select it in the print menu of a compatible phone app. Confirm the model name if you see multiple similar entries. An old entry can point to a previous router or connection.
Print one plain page. If that page comes out correctly, check a second document only if needed. A failed first page gives you a useful clue: record whether the printer was absent, listed as offline, or received a job without producing paper.
What to do if it stops
Work back to the last confirmed step. If the printer has not joined Wi-Fi, fix that connection first. If it is connected but not visible on one computer, check device discovery. If it appears but will not print, inspect the selected printer and print queue. Keep the exact error wording rather than guessing at the cause.
